You might choose to request pricing information from each vendor in a standardized way (to make it easier for you to compare quotes). Give this tool to the vendor and ask them to prepare the quote on this document.
Often, practices will issue an “RFP” to collect information and “promises” about what the product will do from the vendor in a formal way before requesting a quote. At your request, it can become a binding part of the final contract.
